Risk Assessments for staff members for COVID-19

Staff who are neither shielding nor 28 weeks pregnant

A COVID-19 Individual staff risk assessment tool (a guidance document and two Forms) has been created by the Public Health team based on the most recent scientific evidence. Any staff member who is working currently outside of their home for the council, or who is shortly going to be doing this, needs to have an individual COVID-19 risk assessment performed. Other staff do not need to do this yet.

For departments which are due to be moving staff away from working at home, the staff risk assessments form part of the process for opening services. At present, national guidance is still in place stating that employees whose role can be performed from home should continue to work from home.

You will find FAQs on the Employee Guidance page. If a staff member is not comfortable with discussing their risk factors with their manager, the manager should contact the occupational health team. Medical conditions do not need to be disclosed to managers directly by staff.

Completing the risk assessment

Staff who are neither shielding nor 28 weeks pregnant

The Individual Risk Assessment Form (not for shielders or staff more than 28 weeks pregnant) in the Downloads section, which is initially filled out by the employee and then reviewed together with their line manager, allows the level of COVID-19 risk to be assessed for all staff members and to be decreased where possible. The following video goes through the form step by step and explains to both staff and their managers how to fill the form in.

This is not the form to be used for shielding staff or those who are 28 weeks pregnant or more.

Process for sending and receiving documents for the staff risk assessment

When the risk assessment is completed, it needs to be sent by the line manager to occupational.healthunit@wolverhampton.gov.uk and it will be kept in the staff member’s confidential records. A record to say that the assessment has been completed and its overall outcome will be held on the employee's Aggresso file. The following documents can be found in the Downloads section which allow managers and staff members to complete risk assessments without a risk to personal data.

Select the process flowchart based on the criteria:

Option 1 - Employee has an @wolverhampton.gov.uk email address

Option 2 - Employee does not have @wolverhampton.gov.uk email address, does have a personal email address, and is happy for Manager to fill in the form on their behalf in a phonecall.

Option3 - Employee does not have @wolverhampton.gov.uk email address, does not wish Manager to fill in the form on their behalf on a phonecall, may or may not have personal email. 

Drop-in support sessions

Additionally, we are putting on a series of non-compulsory Microsoft Teams sessions for managers helping their staff fill in the form. These drop-in sessions will allow managers to discuss any issues they have experienced with the forms, and will be attended by members of Public Health, Human Resources, Occupational Health and Health and Safety.
