School records for an individual pupil

Many school records are of invaluble help for local historical and genealogical research.

How long should school records be retained?

If you are looking for a particular school document the list below outlines the varying lengths of time different material should be retained.

School log books

School log books must be retained permanently. When a log book is completed it should be sent to the Archives Office.

Class registers

Class registers should be retained whilst the pupils are still at school. 

Admission registers

Admission registers should be retained permanently. An admission register is not the same as a class register where daily attendance is marked.

Pupil record cards or printouts

Record cards are retained for a minimum of 7 years after the pupil has left school or until the pupil has reached the age of 25 years, whichever is the later date.

Archive material

Schools often have presentations, open days, pageants, plays, old photographs and other records that play an important part in the life of the school. In some cases these archives are deposited with the Archives Office but schools are free to decide what to do with the material.
